Build the Letter, Envelope and Audience Together

Start with what the recipient needs to know and what you want them to do. A short introduction and a specific next step are more useful than a page filled with unrelated offers. Include the approved sender name, contact details, dates and any required disclosures. If there are several versions, identify which audience receives each one.

We can discuss design, letter printing, envelope printing, folds, inserts and the preparation needed for your project. Tell us the number of pages and enclosures before choosing an envelope. Envelope dimensions, finished weight and mailing method affect both production and postage. We confirm the assembly scope in the quote rather than assuming every job uses the same setup.

Personalized Letters and Addressed Mail

A letter can share a consistent design while changing a name, salutation, location or approved offer. Our variable data printing service helps coordinate the layout with the supplied fields. For a new audience, discuss targeted mailing lists before committing to quantities.

  • Use consistent field names for recipient, company and address information.
  • Identify which fields print on the letter and which are used on the envelope.
  • Check duplicates, missing values, long names and any rules that select a version.
  • Review representative proofs and confirm that each version goes to the intended audience.

A sample data structure is usually enough for initial planning. Ask our team how to provide the production file; do not include unnecessary sensitive information in a general inquiry. This page covers marketing and general business mailings—not a claim of specialized regulated-document processing.

USPS Marketing Mail or First-Class Mail?

Marketing letters and individually addressed business communications do not all qualify for the same mailing class. Content, quantity, timing, dimensions and preparation affect the choice. USPS Marketing Mail is intended for eligible mailings and has quantity requirements; it is not a single-piece letter service. Some correspondence must use First-Class Mail.

Tell us whether your letter contains advertising, individualized correspondence or other material, and whether timing is critical. We review the appropriate approach before quoting. For current requirements, see USPS Marketing Mail guidance and USPS First-Class Mail information. We do not guarantee a USPS arrival date.

What to Include in Your Letter Mailing Request

  1. Purpose and audience: campaign goal, supplied or requested list, approximate record count and geographic area.
  2. Printed contents: letter pages, color or black-and-white, printed sides, enclosures and envelope preference.
  3. Versions and personalization: variable fields, audience groups and any matching requirements.
  4. Schedule: artwork availability, desired postal-entry date and intended arrival window.
  5. Budget and approval: available budget, proof reviewer and any details that must be confirmed before production.

A complete quote should identify design and printing, data work, assembly and mail preparation, and postage. Ask whether each component is included. An envelope printing price alone does not cover the whole mailing.

Letter Mailing Questions

Can you help if the letter or list is not finished?

Yes. Share the purpose, rough quantity and what is ready. We can discuss design and list options, identify missing specifications and confirm what is required for an accurate quote. You do not need final artwork to begin planning.

Can one campaign contain different letters?

Discuss the number of versions and the rules connecting each recipient to a version. Personalized or versioned work needs a consistent data file and a proofing plan. We confirm the production and matching requirements before accepting the job scope.

Can I use EDDM for individually addressed letters?

EDDM is a route-based service for qualifying flat-size pieces, not a substitute for mailing a named-recipient letter in an envelope. Compare EDDM neighborhood mail with an addressed letter campaign before creating artwork.

What if my message fits on a postcard?

A postcard mailing may be simpler when one visible headline and offer are enough. A letter provides room for a more detailed explanation or enclosure. Compare the complete production and mailing costs, not only the paper size.

Get Your Letter Mailing Moving

Send the specifications you know and we will help resolve the rest. Our team reviews the project, emails a quote with a secure payment link and begins after payment, with a proof when needed before production. Plan time for data review, approvals, printing and USPS delivery.
